Finnair digitizes forms & approval workflows to save costs and increase operational efficiency

Finnair is one of the most innovative  and longest-operating airlines in the world. The airline specializes in flights between Asia and Europe, and its vision is to be the number one airline in the Nordic countries and the most desired option in Asian traffic. At the end of 2013, Finnair employed 5,803 people.

Finnair has faced severe cost savings needs during the last several years as the industry structures have been changing. As a way of finding cost savings and means of increasing operational efficiency Finnair aimed to digitize its form processes and workflows. Consequently, minimizing the manual work in handling and correcting the paper forms, making the coordination of up-to-date form versions easier, ensuring correct workflows and archiving methods as well as increasing process lead times were essential objectives.

Working with our partner Ambientia, Finnair chose frevvo Live Forms because of its:

  • suitability in terms of ease of use (and extending the use of the form application independently throughout the corporate organization)
  • agility in terms of workflows
  • enterprise readiness in terms of integrations with Finnair’s intranet platform as well as operational systems.

The first project in introducing Frevvo within Finnair was developing maintenance and safety report for Finnair Operations. For this project, extensive integrations were made between Frevvo and Confluence (intranet platform) as well as a Grails based integration application and Q-Pulse (operational safety report system).

The challenges faced throughout this project were extensive as it involved integrating several applications across several platforms. The connection between Confluence and Frevvo was the easiest part of the integration and the business rules and functions available in Frevvo made the rest of the integration possible as Frevvo was configured to make API calls to the Grails platform, which in turn made API calls towards the Q-Pulse system. – Eric Salonen, Solutions Expert, Ambientia

OSRAM Sylvania uses frevvo to automate HR approvals integrated with PeopleSoft

OSRAM Sylvania manufactures and markets a wide range of lighting products for business and industry, consumers, for the automotive industry, and for the computer, aerospace and other major industries worldwide.

OSRAM Sylvania wanted to consolidate their HR processing in a single Service Center in Mexico. However, supervisors in multiple locations still needed to submit a variety of HR forms including salary changes, shift modifications etc. Some of these forms required approval by HR, controllers and others.

We needed an affordable solution that worked with our existing PeopleSoft, our HR Portal using single sign on and other infrastructure and that was easy to use and met our business needs.

Merging workflow data with your existing PDF documents

With frevvo, you can already generate a PDF when your workflow is submitted. The PDF looks like the form on the screen. But customers want to use the data to fill in their own PDFs or government PDFs like the US W-4 form. We’re working on this and it’ll be available in the next release. Together with electronic wet signatures, it’ll be easy to fully automate workflows like Employee On-boarding where you can collect employee information and a signature electronically and generate all the required documents.

We’re still working out a detailed design but one possibility is to drop a PDF activity into your workflow at the end. After you upload your PDF, frevvo will send you back a modified PDF as shown below for a US W-4 form.

Notice that all the fields on the PDF have been replaced by pick lists. Each pick list contains the currently defined fields in your workflow and you can map the fields from the workflow to the PDF. Once you are done, upload the mapped PDF back to frevvo and it will take care of the rest.

Now, when your workflow is submitted, the document set will contain the original PDF that you uploaded with the fields filled in from the workflow. You can save it to your back end system, send it via email or use any of the standard actions available with a frevvo workflow. Coming soon …
