Mercy Ships replaces Adobe LiveCycle & DocuSign to automate over 70 day-to-day forms/workflows

Mercy Ships, a global charity, has operated a fleet of hospital ships in developing nations since 1978. Mercy Ships follows the 2000-year-old model of Jesus, bringing hope and healing to the world’s forgotten poor.

The organization was using Adobe LiveCycle forms or DocuSign and e-mailing documents around for signatures and approvals. However, as major browsers on desktop and mobile devices dropped support for the Adobe plugin, it was getting increasingly difficult to use. They decided to standardize on a single product that could handle forms, workflows and signatures.

We wanted a single, affordable solution that would be able to address our forms, workflow and document signature requirements. frevvo’s modern, browser-based solution is easy-to-use, meets all our business needs at a reasonable price.

Live Forms is the best web-based forms & workflow solution on the market today to address our needs.

Chris Gregg,

STH was using a mix of InfoPath forms, custom-built applications or e-mailing paper/PDF documents around for approvals. They decided to standardize on a single product to automate their approval workflows starting with HR and I.T. and then branching out to other departments.

“We are truly happy with frevvo Live Forms. Our primary considerations were adoptability, simplicity and integration.

frevvo forms look good and they’re very user friendly. They also integrate with our existing business systems. Our users have to enter less data, make fewer errors and don’t have to chase down approvals by email.

Live Forms is the best web-based forms & workflow solution on the market today to address our needs.”

– Michael Ruggirello, MIS/IT Systems Administrator

Finnair digitizes forms & approval workflows to save costs and increase operational efficiency

Finnair is one of the most innovative  and longest-operating airlines in the world. The airline specializes in flights between Asia and Europe, and its vision is to be the number one airline in the Nordic countries and the most desired option in Asian traffic. At the end of 2013, Finnair employed 5,803 people.

Finnair has faced severe cost savings needs during the last several years as the industry structures have been changing. As a way of finding cost savings and means of increasing operational efficiency Finnair aimed to digitize its form processes and workflows. Consequently, minimizing the manual work in handling and correcting the paper forms, making the coordination of up-to-date form versions easier, ensuring correct workflows and archiving methods as well as increasing process lead times were essential objectives.

Overall the project was a success as we overcame the challenges faced during the project. The digital MSR report provides optimal information sharing and accelerates and strengthens our corrective actions. – Niko Pakarinen, Safety and Quality Advisor, Finnair

Working with our partner Ambientia, Finnair chose frevvo Live Forms because of its:

  • suitability in terms of ease of use (and extending the use of the form application independently throughout the corporate organization)
  • agility in terms of workflows
  • enterprise readiness in terms of integrations with Finnair’s intranet platform as well as operational systems.

The first project in introducing Frevvo within Finnair was developing maintenance and safety report for Finnair Operations. For this project, extensive integrations were made between Frevvo and Confluence (intranet platform) as well as a Grails based integration application and Q-Pulse (operational safety report system).

The challenges faced throughout this project were extensive as it involved integrating several applications across several platforms. The connection between Confluence and Frevvo was the easiest part of the integration and the business rules and functions available in Frevvo made the rest of the integration possible as Frevvo was configured to make API calls to the Grails platform, which in turn made API calls towards the Q-Pulse system. – Eric Salonen, Solutions Expert, Ambientia

In future, Finnair aims to develop new digital form processes (workflows) with frevvo Live Forms and to widen the use of the solution to other business areas.

La Cité College chooses frevvo for student applications integrated with Salesforce, DocuShare and Oracle.

Deeply rooted in the National Capital Region and Eastern Ontario for over a quarter of a century, La Cité is the largest French-speaking applied arts and technology College in Ontario.

1200+ registration forms have already been submitted electronically with a 24/7 service offering. Students save time since they no longer have to stand in line for registration. Instead of lining up, they simply complete the process on their smartphones.

La Cité serves a diverse population from students and faculty to a large student body. Students, in particular, prefer to use their mobile phones for almost everything. Yet most of La Cité’s forms and applications were paper or PDF documents that had to be printed out, hand-filled and signed. They didn’t integrate with databases, DocuShare (their document management system) or salesforce.com (CRM).

That means students filling out long forms by hand and standing in long lines to register, internal employees scanning and indexing paper forms and a tedious, inefficient overall experience.

Students love the built-in mobile support. Now that the forms are compatible with devices, 60% of responses have come in on mobile.

La Cité decided that they needed to improve services to students and staff. They selected frevvo Live Forms and, in a matter of months, they’ve replaced several paper/PDF forms with electronic ones. They’re available 24/7, work automatically on mobile devices, and integrate with DocuShare, Oracle and salesforce.com. frevvo forms also work in multiple languages including French, which is the dominant language on La Cité’s campus. Data is pre-populated, frevvo’s build-in validation ensures fewer errors, documents are automatically stored in DocuShare and salesforce and students are no longer standing in line.

Co-Op applications, which used to be paper are now electronic. As a result, the number of applications has gone up from about 10 in previous years to over 70.

The results have been impressive and La Cité plans to roll out several additional forms and workflows in the coming months.

OSRAM Sylvania wanted to consolidate their HR processing in a single Service Center in Mexico. However, supervisors in multiple locations still needed to submit a variety of HR forms including salary changes, shift modifications etc. Some of these forms required approval by HR, controllers and others.

We needed an affordable solution that worked with our existing PeopleSoft, our HR Portal using single sign on and other infrastructure and that was easy to use and met our business needs.

After reviewing and trying a number of solutions, we decided that Live Forms has the best combination of usability, price, support and business capabilities on the market today.

– Roger Rudenstein, ERP Manager

Today, several HR functions are automated. Employees use the familiar existing HR portal – no need for a separate login. Integration with PeopleSoft reduces data entry and errors. Supervisors can sign and approve electronically from any location.
