frevvo for Confluence – Part 2. Simple forms/submissions.

frevvo for Confluence – Part 1. What is it?

confluence_rgb_blueAtlassian’s Confluence is a wiki used by 1000s of companies to connect people with the content and co-workers they need to get their jobs done, faster. Confluence has an intuitive, rich-text editor that makes it easy for anyone to edit pages and create content. Works great for relatively unstructured content.

But, a big part of people’s day-to-day work is structured content – routine time sheets, job applications, expense reports, vacation requests, purchase requisitions, sales orders, employee on-boarding, patient referrals and the like. These are just forms (often paper or PDF or Excel) that are filled out every day and routed around to others for signatures, comments and approvals (email or hand-delivery).

frevvo is fully integrated with Confluence and employees can collaborate efficiently on their day-to-day tasks in the same, familiar environment.

It’s hard to do this in Confluence. Consider a simple Vacation Request. You can’t just create a new Confluence page because you want to take next week off and then expect your supervisor to Edit it and approve or comment back.

That’s where frevvo comes in. We provide an Add-On for Confluence that lets you add forms, workflows and the associated task lists to Confluence. Users then simply logon to Confluence, go to the Vacation Request page, fill out the form that’s embedded on that page and Submit. frevvo will route as required, send notifications to the appropriate people and remind them if necessary. When the next person in the workflow needs to act on the request, he/she can approve/comment/reject directly in Confluence.

Finnair digitizes forms & approval workflows to save costs and increase operational efficiency

Finnair is one of the most innovative  and longest-operating airlines in the world. The airline specializes in flights between Asia and Europe, and its vision is to be the number one airline in the Nordic countries and the most desired option in Asian traffic. At the end of 2013, Finnair employed 5,803 people.

Finnair has faced severe cost savings needs during the last several years as the industry structures have been changing. As a way of finding cost savings and means of increasing operational efficiency Finnair aimed to digitize its form processes and workflows. Consequently, minimizing the manual work in handling and correcting the paper forms, making the coordination of up-to-date form versions easier, ensuring correct workflows and archiving methods as well as increasing process lead times were essential objectives.

Working with our partner Ambientia, Finnair chose frevvo Live Forms because of its:

  • suitability in terms of ease of use (and extending the use of the form application independently throughout the corporate organization)
  • agility in terms of workflows
  • enterprise readiness in terms of integrations with Finnair’s intranet platform as well as operational systems.

The first project in introducing Frevvo within Finnair was developing maintenance and safety report for Finnair Operations. For this project, extensive integrations were made between Frevvo and Confluence (intranet platform) as well as a Grails based integration application and Q-Pulse (operational safety report system).

The challenges faced throughout this project were extensive as it involved integrating several applications across several platforms. The connection between Confluence and Frevvo was the easiest part of the integration and the business rules and functions available in Frevvo made the rest of the integration possible as Frevvo was configured to make API calls to the Grails platform, which in turn made API calls towards the Q-Pulse system. – Eric Salonen, Solutions Expert, Ambientia

Why is the Confluence plugin price tied to the # of Confluence users?

Customers sometimes ask us why our plugin license is directly tied to the Confluence license.

We have far more users for Confluence than for forms. It would be better to license a [smaller] group of users as having access to the frevvo Plugin.

It’s a reasonable question/complaint. Why should I pay for 500 users when only 20 will be using forms?

By and large, this is about running a viable business for the Confluence plugin. We’re a small company; likely a lot smaller than most of our customers. We constantly face the every-day challenges of running a small company, especially in the current economy.

The reality is that our product is more complex than the vast majority of plugins – workflows & forms in Confluence are just harder than charts & graphics since they often interact with external systems like databases, send out email notifications and, generally speaking, provide very high business value. frevvo is not just a plugin. There’s a server component that you must install and configure and we’ve found that it can get complicated because customers have firewalls and proxy servers and all kinds of setups.

We’re very very good at customer support and you’d never get the kind of support and attention you’ll get from frevvo from a larger company.

However, all this requires people and money and we have to be able to afford it. We make most of of our money on the larger licenses. That’s our “bread and butter” and if you could always just buy licenses in much smaller chunks, we would not have a viable and sustainable business model for the Confluence plugin.

We’ve also found that many customers will deploy the plugin and quickly find that all kinds of users want access to it. Once business users discover that they can quickly create their own registration forms/surveys and download submissions to Excel, they want to do it. Once IT realizes that they can simply point business users to a Tutorial for these basic needs, they want nothing else.

At the end of the day, we simply cannot afford to develop, support and sell the plugin any other way. Hopefully, you understand.
